Every class on your DojoMesh landing page can carry a Book Trial Class button. Someone picks the class they want to try and the day they want to come, and you get a booking, a lead, and an email — before they have spoken to anyone. This guide covers switching it on, what arrives, and how to move each booking from "new" to "member".
How a booking happens
Your academy has a public landing page at https://your-academy.dojomesh.com/ with your live class schedule on it. When trial bookings are on, each class shows a Book Trial Class button. Clicking it opens a short form — name, email, phone, and the date they would like to come — pre-filled with that class.
When they submit, three things happen at once:
- A lead is created — a member record with the status New Lead. If a record with that email already exists, it is reused instead, so someone who books twice does not appear twice.
- The booking is recorded against that person: which class, which day of the week, what time, and the date they asked for.
- You are emailed at your academy's contact address, with the subject "New Trial Class Booking: class name".
The person shows up on your Leads page like any other prospect. The booking is the extra bit: it tells you which class they expect to walk into and when. You track the appointment here and the person there.
Turn bookings on
Go to Settings Landing Page and find the "Book Trial Class" Button checkbox. It is on by default for new academies.
Turning it off does two things: the buttons disappear from your landing page, and DojoMesh stops accepting new bookings — so an old link or a cached page cannot create one. Existing bookings are untouched.
Bookings only work for classes that are actually on the schedule, so if your landing page shows no classes, see Building your class schedule first.
Work the bookings page
Members Trial Bookings lists every booking, newest first, with three counters. New (not yet contacted) and Total Bookings count bookings. Converted to Member counts people: how many of the individuals behind these bookings are active members today, whatever their bookings are labelled. Someone with two bookings counts once, and someone you converted on the Leads page counts even if you never relabelled their booking.
Each row shows who booked, their contact details, the class and time they chose, the Preferred Date they asked for, and when they booked. The name is a link to their member record, and directly under it is that person's real status — Lead, Active Member, and so on — which is separate from the booking's own status in the right-hand columns. The two answer different questions: the booking status is what happened with this appointment; the badge under the name is whether the person has joined.
The routine:
- Reply the same day. Confirm the class, tell them what to wear and bring, and where to park. Then set the row's status to Contacted and click the save button beside it.
- After the class, set it to Attended or No-show. This is what makes the counters mean something later.
- Check the New counter daily. A booking that is still New two days later is someone who has heard nothing from you.
Convert them
When someone signs up after their trial, two things need doing, on two pages:
- On the Leads page, click Convert to Member on their row. That changes the person's status to Active Member.
- On the Trial Bookings page, set the booking's status to Converted. That records the outcome of the booking.
The booking status is bookkeeping about the booking. It does not touch the member record. If you only do step 2, the person stays a lead — not billed, not on your members list, unable to log in. Do both. If you forget, the row tells you: a booking marked Converted whose person is still a lead shows not converted yet under the name, linking to the Leads page.
Then, from their profile, assign a membership plan and set a password — see Convert them — or let them go for what conversion does and does not do.
The six statuses

| Cancelled | They told you they were not coming, or the booking was a mistake or spam. |
Nothing moves between statuses automatically. Each change is you picking from the dropdown and saving. That is deliberate — only you know whether they showed up.
Troubleshooting
There is no Book Trial Class button on my landing page
Either the option is off under Settings Landing Page, or there are no classes on the schedule for the button to attach to.
I did not get the email
Bookings go to the Contact Email set for your academy under Settings Gym Settings. Check that address, and check the booking is on the Trial Bookings page — if it is there, the booking worked and only the notification went astray, which is usually an email setup issue.
A booking went onto the wrong person's record
Bookings match on email. If a parent booked for a child using the parent's own address, and the parent is already a member or lead, the booking attaches to the parent. Open the booking's member record with Edit, add a note saying who it is really for, and if the child joins, create them as their own member and link the two as a family.
A row says "not converted yet" but I marked it Converted
That is the point of the message: the booking is labelled Converted, but the person's member record is still a lead. Click through to the Leads page and use Convert to Member. The message disappears once they are active.
A name shows "No member record"
The person this booking was created for has since been deleted from Leads or Members. The booking is kept for your history, but there is nobody to convert. If they come back, they will book again and get a fresh record.
Common questions
Can someone book a class that is not running that day?
The form is attached to a class on your live schedule, so they can only choose a class that exists. The Preferred Date is their request, though, and is not checked against the schedule — if they pick a date the class does not run, tell them when you confirm.
Does booking a trial create a portal login for them?
No. A lead created by a booking has no password and cannot log in. That comes after you convert them.
Can I take bookings from my own website rather than the DojoMesh landing page?
The booking button lives on the DojoMesh landing page. On your own site, embed the sign-up form from Settings Website Form, which creates leads in the same way without a class attached — or link visitors to your landing page for the schedule and booking.
Can I delete a booking?
Not from this page. Set it to Cancelled, which keeps the record and stops it counting as New or Converted — it still counts towards Total Bookings. If the underlying person is spam, delete them from the Leads page.
